Recommendations for Travel Subsidies for Master's and PhD Students
which have been approved by faculty and
by the Founding Chairs Fellowship Committee

Philosophy:

The provision of subsidies for trainees to travel to present their research at national and international conferences should be viewed by the trainees as a privilege and not a right.

Faculty recognizes the importance for trainees of attending conferences, of presenting and defending their research and interacting with other scientists.

Proposed Regulations:

  1. Trainees are encouraged to apply for external travel allowances before approaching the Founding Chairs Committee.  Sources include:

    1. their supervisor (particularly important source if the research project is externally funded);
    2. the department and/or college in which the trainee will receive his/her degree;
    3. the College of Graduate Studies;
    4. the conference organizers who may be able to provide in-kind financing by reducing or waiving the registration fees or providing meals as well as cash travel allowances.

  2. Any approved subsidy will be paid only after trainee provides acceptable receipts including meal receipts.  We will not have a per diem structure.

  3. Trainees are encouraged to be frugal by for example, traveling on lower cost days, booking in advance, taking advantage of seat sales and/or sharing accommodation.

  4. Funds set aside by the Founding Chairs Committee to subsidize travel by trainees cannot be used for any other purpose.  If the trainee does not present at a conference in one academic year, the trainee has missed an opportunity as the travel subsidy will not be cumulative.

  5. Funds will be available to trainees only in the event that he/she is the presenting author.

  6. Limit: one Founding Chairs subsided conference per year per trainee may be approved.

Financial support* will be limited to maximums of (a) $ 500/year for Master's students and, (b) $ 750/year for PhD students.
